This policy explains how DocEndorse, and other entities operating on behalf of Kitui Technologies Ltd (company no: 15326047) including the DocEndorse For Office, DocEndorse For Excel, and the DocEndorse For Outlook Apps use the personal data that they collect when you use our platform.

What data do we collect?

DocEndorse collects the following data:

  • Personal Identification Information (PII) (Name, email address, phone number, address, photograph, signature, credit card, location, Geolocation data, etc.)
  • Organisational Information (OI) (Business registration number, D-U-N-S number, Business name, business telephone number, company logo, time zone, industry, etc.)

How do we collect your data?

You directly provide DocEndorse with most of the data we collect. We collect data and process data when you:

  • Register online
  • Purchase and use of our products or services
  • Through browsing our website

DocEndorse may also receive your data indirectly from the following sources:

  • Popular social media companies
  • Popular search engines

How will we use your data?

DocEndorse collects your data so that we can:

  • Manage your account and process signature requests.
  • Manage your team members' accounts.
  • Email you about new products, new features, and updates to the privacy policy.
  • Email you with special offers on other products and services we think you might like.

If you agree, DocEndorse will share some of your data with third-party marketing companies that may offer you their products and services. For example:

  • Popular social media companies
  • Digital marketing companies

When DocEndorse processes your order, it may send your data to, and also use the resulting information from, credit reference agencies to prevent fraudulent purchases. DocEndorse also uses a third-party vendor to process payments and handle subscription services. When choosing third-party vendors we go through a rigorous procurement process that involves reviewing their server infrastructure, data management policies, and data security.

How do we store your data?

DocEndorse securely stores your data on dedicated servers in London and New York that are physically managed by an independent contractor. We use a firewall to limit unauthorised access through unauthorised channels to the network. Only a limited number of personnel have access to the server. Each personnel must use an encrypted password to access the server and no one person has full permissions.

DocEndorse stores data in one of three ways:

  1. Private file vault: Stores an encrypted form of any image data, documents uploaded, and/or signed and cryptographic certificates. This information will be stored as long as you remain a customer with DocEndorse. The user also has the ability to download and delete ALL data that were originally provided to DocEndorse. Additionally, there is a setting that allows the user to automatically delete uploaded unencumbered data after a set time - that is predetermined by the user. The option to delete individual documents is available at all times.
  2. Cookies: Store geolocation data such as country code, area code, and device identifier. Information stored in the cookies will be stored for 60 days.
  3. Database: store Personal Identification Information and Organisational Information in an encrypted form in the database. This information will be stored, as long as you remain a customer with DocEndorse. The user also has the ability to download and delete ALL data that were originally provided to DocEndorse. Additionally, there is a setting that allows the user to automatically delete uploaded unencumbered data after a set period of time, that is predetermined by the user. The option to delete individual documents is available at all times.

Marketing

DocEndorse may send you information about products and services of ours that we think you might like. Such as:

  • Email you about new products, new features, and updates to the privacy policy.
  • Email you with special offers on other products and services we think you might like.

Information provided by your signatories will only be used to endorse or sign documents.

If you have agreed to receive marketing, you may always opt-out at a later date.

You have the right at any time to stop DocEndorse from contacting you for marketing purposes or giving your data to other members of the DocEndorse Group.

What are your data protection rights?

DocEndorse would like to make sure you are fully aware of all of your data protection rights. Every user is entitled to the following:

The right to access – You have the right to request DocEndorse for copies of your personal data. There is a free tool available to administrators that allow them to download selected data, if there is a need for data not provided within the free tool, then we may offer you this service for a small fee.

The right to rectification – You have the right to request that DocEndorse correct any information you believe is inaccurate. You also have the right to request DocEndorse to complete the information you believe is incomplete. Personal Identification Information and Organisational Information can be changed by users with administrative privileges over your account.

The right to erasure – You have the right to request that DocEndorse erase your personal data, under certain conditions. To remove all data, the user with administrative previldeges must go settings -> profile -> delete data, where the subscription can be cancelled and ALL data erased permanently.

The right to restrict and object processing – You have the right to request that DocEndorse restrict and or object to the processing of your personal data, under certain conditions. These conditions are:

  1. Limiting your processing will not hinder our ability to provide you with our core services.
  2. And that you are not committing any criminal offenses such as obstructing the course of justice.

The right to data portability – You have the right to request that DocEndorse transfer the data that we have collected to another organization, or directly to you, under certain conditions.
